Gmail Features: Gmail has improved all the features and apart from sending or receiving mails there are lot more to be done. Sometimes we don’t get time to read emails in such cases you can just add a star which is like a remainder to read later. When you go out of town for several days and can’t check your mails, one can create an automatic vacation reply so people will come to know that you are unable to check mails.

Vacation Reply

When you are not available for a couple of days all the emails you received will be in your mail. But if someone sends you some urgent messages that needs to be responded on the same day and if you did not respond they may take it in a wrong way. To avoid such conflicts you can create a vacation reply, which will automatically send a reply to anyone who emails you. Generally in vacation reply you can type any message you want other to see but typically it will incorporate the date you planned to return and your contact information while you are out of town.

Adding a Vacation Reply:

  • Click the gear icon in the top-right corner and select Settings.
  • Now scroll down to end where you will find a Vacation responder. Now click Vacation responder on and fill the below details, the First day field (It’s the date when you want the vacation reply to start).  Last date filed (when you want your vacation reply to end) but generally it’s not required.
  • Now fill the desired subject and message.
  • Click on check mark below (Only send a response to people in my Contacts) if you want to send your vacation reply only to people who are in your contacts. Otherwise just leave it unchecked and click on Save Changes button.
  • When your vacation reply is active, there appears a bar at the top of the Gmail window showing your message. To end the vacation reply, click End now.

Start Importing Emails:

When you are using multiple Gmail accounts and want to check all of them in only one account. Gmail came up with a new feature, try auto-forwarding your mail or you can directly Import old emails and get new emails from other accounts. You can add almost 5 accounts to import emails which include Gmail and other email providers.

Enable POP in the Old Gmail Account:

  • Open your Gmail account.
  • Click the gear icon in the top-right corner and select Settings.
  • Select the Forwarding and POP/IMAP tab.
  • In the “POP Download” section, select Enable POP for all mail.
  • Next in the “When messages are accessed with POP,” select what you want with messages in this account.
  • Click Save Changes.

Import Email from Old Gmail Account to the New Account:

  • Open your Gmail account.
  • Click the gear icon in the top-right corner and select Settings.
  • Click the Accounts and Import tab.
  • Click Add a POP3 mail account you own (From Check mail from other accounts section)
  • A new popup will be opened, enter the email address you want to import
  • Click Next Step.
  • Now enter the required fields, Username, Password, POP Server (pop.gmail.com), Port (995) and now you get few other options to choose from.
  1. Leave a copy of retrieved message on the server (Leave it un checked)
  2. Always use a secure connection (SSL) when retrieving mail (Click on check mark)
  3. Label incoming messages  (Optional)
  4. Archive incoming messages  (Optional)
  • Click Add Account.
  • Now your mail account is added and it will ask if you want to be able to send mail as this address. Choose yes, click next step and the setup will finish.

How to stop Importing Emails?

  • Open the Gmail account.
  • Click the gear icon in the top-right corner and select Settings.
  • Select the Accounts and Import tab.
  • Click delete for the Gmail account from which you imported under Check mail from other accounts (using POP3).
  • It will ask you, Are you sure you want to delete this mail account?
  • Click OK

How to Import contacts into your Gmail account from another email account:

To be in touch with any one contacts are the main source. To make our work easier Gmail came up with a concept of importing contacts from other Email sources such as yahoo, Outlook, Hotmail, Aol, Apple and other email providers in to Gmail Account. Follow these simple steps to Import contacts from other Email services to Gmail account.

  • In the Gmail drop-down menu, select Contacts.
  • Your contacts screen will appear with different menu options like all contacts, frequently contacted, groups, Circles, Find duplicates and more.
  • Click ‘More’ and a drop-down menu will open with many options
  • Click Import option.
  • A pop-up will open (Import contacts from other accounts) with different email accounts
  • Now select the email account where your existing contacts are.
  • Click I Agree, Let’s Go!
  • Sign in to your email account.
  • Click Agree.
  • When your import is done, click OK.

How to Transfer contacts from another Gmail account?

Step 1: Export existing Gmail contacts into a CSV file

  • In the Gmail drop-down menu, select Contacts.
  • Your contacts screen will appear with different menu options like all contacts, frequently contacted, groups, Circles, Find duplicates and more.
  • Click ‘More’ and a drop-down menu will open with many options
  • Click Export Option.
  • To export contacts, go to the old version of Google Contacts.
  • Select which contacts to export.
  • “My Contacts” are contacts you’ve created yourself.
  • “All contacts” are contacts you’ve created and Other Contacts you’ve emailed.
  • Select Google CSV format.
  • To save your CSV file, click Export.
  • Towards the top right corner of the page, you will find a circle with your selected image or your first initial.
  • Now click on the round shaped photo and it will open a drop-down menu
  • In the bottom of the menu, you will find sign out option and click it.

Step 2: Import the CSV file into Google Contacts

  • In the Gmail drop-down menu, select Contacts.
  • Your contacts screen will appear with different menu options like all contacts, frequently contacted, groups, Circles, Find duplicates and more.
  • Click ‘More’ and a drop-down menu will open with many options,Click Import.
  • Click Choose File.
  • Select your CSV file.
  • Click Import.
